The Performance Manager will lead the planning and delivery of music performances for touring ensembles for KI Concerts, a division of the Headfirst Companies. 

KI Concerts produces performances for individual ensembles on six continents and presents festivals where multiple ensembles come together and are led in common repertoire by a renowned conductor. Reporting to the Operations Director – KI Concerts, the Performance Manager is a full-time team member with a rich background in music who is responsible for managing all aspects of performances by the ensembles participating in KI Concerts custom tours and festivals. The Performance Manager will collaborate with KI staff, overseas operators, Festival Leaders, and Ensemble Directors to produce high-quality musical experiences around the globe. While the Performance Manager will travel to many of KI’s performance events, this role will also be responsible for facilitating events where they are not present.

The hub of KI’s operations is centered in Colorado Springs, CO. This mission-driven role will collaborate with team members in Colorado, Washington, DC, and New York City, and will coordinate performances at KI Concerts tour locations around the globe.

  • Performance Planning with Overseas Operators:
    • Lead the coordination of all musical aspects of each tour. 
    • Research and identify appropriate performance venues for touring groups. 
    • Plan and coordinate logistics around all rehearsals and exchange programs with local music groups.
    • Where required, facilitate the procurement of in-country workshop leaders/clinicians.
    • Work with Overseas Operators and KI Operations Team to organize instrument rentals and transportation of instruments.
    • Collaborate with Ensemble Directors and/or Festival Leaders to address performance set-up, audio-visual needs, and any special performance requests (including but not limited to riser set-up, lighting, video feed requests, audio and any vocal or instrumental augmentation).
    • In coordination with the KI Marketing Manager and Client Experience Manager, provide performance marketing materials to Overseas Operators to advertise performances, create concert programs and support their responsibility to deliver a live audience for each.
    • In alignment with the KI Operations and Finance teams, manage the finances for all performances and exchanges, ensuring that events meet client expectations and are within projected budgets.
  • KI Festival Planning:
    • As the liaison with Festival Leaders, provide musical assistance and coordinate:
      • Combined festival repertoire decision making processes.
      • Information on voicing for combined choirs.
      • Instrumentation for band and orchestral ensembles.
      • Any festival accompaniment and performance augmentation required.
  • In collaboration with the KI Client Experience Manager, provide excellent customer experience for Directors of ensembles:
    • Confirm repertoire for individual ensembles’ performances.
    • Coordinate with local performing groups overseas regarding exchange components of program.
    • Provide planning checklists to Ensemble Directors as well as all relevant information on venues KI is proposing.
  • In collaboration with the KI Director of Operations, deliver music performances as part of KI tours:
    • When on-site, serve as Production Manager: facilitate the staging of concerts and assist the Ensemble Director; when not on-site, support others to act in this same role.
      • Manage performance group’s access to backstage facilities, including dressing rooms, toilets, and venue security.
      • Confirm receipt and positioning of rental equipment and instruments; address any issues with rentals.
      • Serve as point-of-contact for exchange groups’ leaders.
      • Manage the load-out of performances: packing equipment, checking and closing dressing rooms, etc.
      • Other miscellaneous activities: taking photos of rehearsals, exchanges, and performances; organizing gifts as needed for festival leaders, guest conductors, and exchange groups.
  • KI Sales Team Liaison
    • Liaise with KI Sales Team in ensuring delivery matches expectations at time of sale.
    • Collaborate with KI Sales Team to create new events/experiences/market distinction for KI’s offerings.
  • Resource Management
    • Build KI’s institutional knowledge by creating library of resources:
      • Potential venues by country, size, genre, audience, repertoire constraints, cost etc.
      • Exchange groups and opportunities.
      • Information on variety of touring ensembles past, present, and future.
    • In collaboration with the KI Marketing Manager, manage and organize performance images.


Requirements

The successful candidate will have roots in music performance and/or production and/or education, an eye for detail, and a mind for logistics. The person in this role should have strong project management skills, experience with music events, and a passion for supporting performers with a diverse range of talent through unique, once-in-a-lifetime performance opportunities.

  • Bachelor’s degree or further education in music education or performance or music business.
  • A track record of work in arts management.
  • Experience in planning and staging choral and instrumental events.
  • Knowledge of music in places other than the United States.
  • Ability to support the ‘stars’ in the room irrespective of their talent level; willingness to sublimate one’s own talent and ego to calmly facilitate rather than impose solutions.
  • Experience working with high-caliber performers, conductors and festival leaders and possessing an understanding of their needs and demands especially pre-performance.
  • Capacity to engage and collaborate with many stakeholders while managing competing priorities and expectations.
  • Ability to track, support and visualize projects taking place remotely; support team members who are carrying out functions of this role when Performance Manager is not on-site.
  • Strong oral and written communication skills.
  • Strong problem solving and critical thinking skills.
  • Experience managing budgets for events and performances, or similar programming.
  • Ability to effectively manage events and teams across multiple time zones and collaborate through remote/online meetings, email, shared files, etc.
  • Communicator for whom working with different languages and customs is no barrier (no second language required.)
  • Detail oriented with ability to prioritize and work on various projects simultaneously.
  • Ability to work autonomously within a small team environment.
